Whether you\u2019re a startup or scaling up, how you manage the money flowing in and out of your business can determine whether you thrive, survive, or stall.<\/p>\n\n\n\n<p>\u201cCash flow is the heartbeat of your business,\u201d says Itika Watkins, CEO of Detroit-based <a href=\"https:\/\/www.prof-bookkeepers.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Professional Bookkeepers <\/a>and an experienced financial educator. \u201cYou can have a great product or service, but if you don\u2019t manage your cash, you won\u2019t last long.\u201d<\/p>\n\n\n\n<p>Here, Watkins shares practical strategies for staying in the black and building financial systems that work.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-know-the-difference-between-cash-flow-and-profit\">1. Know the Difference Between Cash Flow and Profit<\/h3>\n\n\n\n<p>Just because your business is profitable doesn\u2019t mean you have money in the bank.<\/p>\n\n\n\n<p>\u201cOne of the biggest mistakes business owners make is confusing profit with cash flow,\u201d Watkins says. \u201cYou might be showing a profit on paper, but if your customers haven\u2019t paid you yet, you don\u2019t actually have that money to spend.\u201d<\/p>\n\n\n\n<p><strong>What to do: <\/strong>Review your cash flow statement separately from your income statement. Profit tells you what you earned, while cash flow shows what\u2019s available to use.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-2-set-up-a-cash-flow-forecast\">2. Set Up a Cash Flow Forecast<\/h3>\n\n\n\n<p>A cash flow forecast helps you anticipate shortfalls before they happen and make smarter decisions about when to spend, save, or seek financing.<\/p>\n\n\n\n<p>\u201cEvery business should have a cash flow forecast, even if it\u2019s simple,\u201d Watkins says. \u201cYou don\u2019t need fancy software, you just need to know what\u2019s coming in and going out over the next 30 to 90 days.\u201d<\/p>\n\n\n\n<p><strong>What to do:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Project expected income by week or month.<\/li>\n\n\n\n<li>List all known upcoming expenses (payroll, rent, vendors, taxes).<\/li>\n\n\n\n<li>Look for gaps between inflow and outflow so you can plan ahead.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-3-get-clear-on-your-operating-costs\">3. Get Clear on Your Operating Costs<\/h3>\n\n\n\n<p>According to Watkins, many entrepreneurs are unaware of the actual monthly costs of running their business, which creates trouble.<\/p>\n\n\n\n<p>\u201cYou have to know your bare minimum,\u201d she says. \u201cWhat do you need to bring in just to keep the lights on? That number should be burned into your brain.\u201d<\/p>\n\n\n\n<p><strong>What to do:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Calculate your fixed monthly costs (rent, salaries, software, utilities).<\/li>\n\n\n\n<li>Add average variable expenses (inventory, marketing, shipping).<\/li>\n\n\n\n<li>Use that baseline to determine your minimum monthly revenue target.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-4-build-a-separate-emergency-fund-for-your-business\">4. Build a Separate Emergency Fund for Your Business<\/h3>\n\n\n\n<p>Personal finance experts recommend keeping 3\u20136 months of expenses in savings, and Watkins says the same principle applies to your business.<\/p>\n\n\n\n<p>\u201cI tell clients to treat their business like a person. It needs its own emergency savings,\u201d she says. \u201cBecause guess what? There will be slow months. If you don\u2019t plan for that, you\u2019ll feel the pressure immediately.\u201d<\/p>\n\n\n\n<p><strong>What to do: <\/strong>Start by saving one month of essential expenses. Build up gradually over time as your revenue grows.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-5-get-paid-faster\">5. Get Paid Faster<\/h3>\n\n\n\n<p>One of the quickest ways to improve cash flow is to shorten the time between doing the work and getting paid.<\/p>\n\n\n\n<p>\u201cI always say: invoice immediately. Don\u2019t wait a week. Don\u2019t wait until you \u2018have time,\u2019\u201d Watkins stresses. \u201cAnd make sure your invoice terms are clear \u2014 Net 15 or Net 30 \u2014 so your clients know what\u2019s expected.\u201d<\/p>\n\n\n\n<p><strong>What to do:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Automate your invoicing process if possible.<\/li>\n\n\n\n<li>Include clear payment terms and late fees.<\/li>\n\n\n\n<li>Follow up consistently on overdue invoices.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-6-don-t-overlook-timing\">6. Don&#8217;t Overlook Timing<\/h3>\n\n\n\n<p>Even businesses with strong annual revenue can hit cash flow crunches if income and expenses don\u2019t align month to month.<\/p>\n\n\n\n<p>\u201cI had a client who was profitable but always broke in February and March,\u201d Watkins recalls. \u201cWhy? Because their biggest bills hit early in the year, and sales didn\u2019t pick up until spring. We fixed it by adjusting payment cycles and negotiating with vendors.\u201d<\/p>\n\n\n\n<p><strong>What to do:<\/strong> Review your cash flow by month. Identify high-expense periods and plan accordingly \u2014 whether through savings, prepayment plans, or temporary financing.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-7-review-cash-flow-monthly-at-minimum\">7. Review Cash Flow Monthly (at Minimum)<\/h3>\n\n\n\n<p>If you only check your numbers when it\u2019s time to apply for a loan or file taxes, you\u2019re doing your business a disservice.<\/p>\n\n\n\n<p>\u201cMonthly review isn\u2019t optional,\u201d Watkins says. \u201cCash flow is dynamic. Things change all the time. One late payment or surprise expense can throw everything off.\u201d<\/p>\n\n\n\n<p><strong>What to do:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Reconcile your bank accounts and compare actuals to forecasts.<\/li>\n\n\n\n<li>Identify where cash leaks are happening. Are all of your expenses justified? For example, Watkins notes that many businesses incur monthly tech expenses that aren\u2019t utilized or are underutilized.\u00a0<\/li>\n\n\n\n<li>Use insights to adjust your pricing, payment terms, or spending.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-8-work-with-a-bookkeeper-or-financial-pro\">8. Work With a Bookkeeper or Financial Pro<\/h3>\n\n\n\n<p>Watkins emphasizes that managing cash flow doesn\u2019t mean doing everything yourself. In fact, getting help from a professional can save you money and stress in the long run.<\/p>\n\n\n\n<p>\u201cBookkeepers can help you set up systems, spot patterns, and avoid costly mistakes,\u201d she says. \u201cDon\u2019t wait until you&#8217;re in trouble.
